Privacy policy
Simplified Orthodontics Studio is made by Simplified Orthodontics Academy. It contains five tools: Simplified Ceph, Simplified Cast, Simplified CBCT, Simplified Face and Simplified Practice. This policy explains what happens to the information you use in the app, on the website and in the Android app.
- Without an account, everything you enter stays on your device and nothing clinical reaches us.
- If you sign in with Google, you get a Studio account with a private cloud space. A copy of your work (cases, patient records, photos, radiographs and 3D models) is stored there so it opens on your other devices. CBCT scans are never uploaded.
- Your cloud files are encrypted at rest and can be opened only through your own signed-in account. We do not open, read or use them.
- You can download everything, or delete your account and all your cloud files, at any time from My account.
- If you sign in, we keep a small Studio account: your email address and name, when you used the Studio, your plan, and how many new cases you opened in each tool each month. It never contains patient information.
- There is no advertising and no tracking for advertising in the app.
Signing in with Google
Signing in is optional. The tools work fully without it, on the device you are using.
When you sign in, Google tells us your email address and the name on your Google account. We store the address with our email service provider, Brevo, in the Academy's contact list, and use it to send you new videos, guides and app updates. Every email has an unsubscribe link, and you can ask us to delete your address at any time by writing to the contact below. We do not sell or share the list.
You can create an account with your email and a password, or sign in with Google. Passwords are never stored as written: only a scrambled form (a salted hash) is kept, which cannot be turned back into the password. We email you a 6-digit code to confirm your address and to reset a forgotten password.
Signing in with Google uses Google only to confirm who you are. The Studio does not get access to your Google Drive, email or contacts. (If you used an earlier version that saved to Google Drive, the Import button in My account asks Google, once, for access to the Studio's own folder and nothing else.)
Your Studio cloud
When you are signed in, the Studio copies your work to a private cloud space linked to your account: your saved cases in Simplified Ceph, Simplified Cast and Simplified Face, your Simplified Practice records (patients, visits, appointments, fees) and the files attached to them, such as photos, radiographs and STL, PLY or OBJ models. Your work is always saved on your device first and copied to the cloud when you are online. CBCT scans are never uploaded; only the measurements and screenshots you save from them are.
The files are stored in Cloudflare R2, a storage service run by Cloudflare, Inc., and are encrypted at rest by Cloudflare. Each file can be read only through the Studio when you are signed in to your own account. We do not open, read, analyse or share your files, and we do not use them to train any system. We could be required to give access only if the law demands it.
Each plan has a cloud space limit, shown in My account. When it is full, new work keeps being saved on your device and waits there until space is available.
You can sign out from the home page or My account; your work stays on the device and in your cloud. You can download everything on your device as one file, and you can delete your account, which permanently deletes every file in your cloud straight away.
Notifications
The Studio can remind you about your appointments and patients who need follow-up. The bell inside the Studio works from the records on your device. If you are signed in and use Simplified Practice, the Studio also sends our server a short list of your appointments for the next 14 days (date, time, length, visit type, clinic name and the patient's first name, initials or no name, as you choose in My account) and the number of patients on each follow-up list, so reminders can reach you when the Studio is closed. No other patient information is sent, and each new list replaces the last one.
Alerts on your phone or computer are switched on only when you choose to, one device at a time. Your browser then gives us an address for that device, which is delivered through the browser maker's alert service (Google, Apple, Microsoft or Mozilla). The alert's text is encrypted so only your device can read it. You can turn alerts off on each device and choose what you receive in My account. If none of your devices has alerts on, account notices and Studio news may come by email through Brevo; appointment reminders are never emailed.
Patient messages
A doctor can give a patient a private link and a 4-digit code so the patient can send the clinic text messages. The patient needs no account. Messages are text only (no photos, voice or files), are stored on the Studio server and not in the doctor's cloud space, can be read only by that doctor and that patient, and are deleted 90 days after they are read (and 180 days after they are sent at the latest). The patient's page shows only the patient's first name, the clinic's name and hours, and the next appointment. The doctor can stop a patient's link at any time. Patient messages are not for emergencies.
Advertising measurement (Meta Pixel)
To see which of our ads bring doctors to the Studio, our public pages (home, plans, sign-up and install) can use the Meta Pixel. It starts only after you press Accept, and it stays off if you press Decline or your browser sends a Global Privacy Control or Do Not Track signal. It reports that you visited a public page, opened the plans, tapped a tool link, or created an account, together with the tag of the link you came from (for example yt or ads). Meta may match this to its own accounts to measure ads and show them to similar people, under Meta's own policies.
The Pixel is never loaded inside Simplified Practice, Ceph, Cast, CBCT, Face, My account or the patient message page. It never receives patient names, patient files, images, messages or the text you type into forms, and Meta's automatic form and button collection is switched off. You can change your choice at any time: Ad privacy choices. Your choice is remembered on this device for up to a year.
Your Studio account and plan
When you sign in, the Studio creates a small account for you on our server, which runs on Cloudflare. It holds your email address, your name, the date you joined, the days you opened the Studio, your plan and its end date, and the country your connection comes from. Each time you open a new radiograph, model or scan, the Studio records only that a new case was opened in that tool that month, with a code made from the file's size and date so the same file is not counted twice. The number of patient files in Simplified Practice is recorded as a count.
This account record never contains patient names, images or measurements; those are only in your cloud files described above. If you choose to tell us your clinic name and country, they are kept with your account. We use it to apply the limits of your plan, to understand how the Studio is used, and to contact you about the Studio. If you pay for a plan, the payment is handled by Paymob (Egypt), or outside Egypt by Paddle.com, which sells the plan to you as our reseller and merchant of record, or by PayPal. Paddle processes your name, email, country, and payment details under its own privacy notice (paddle.com/legal/privacy). We receive only the result of the payment and the payer email, never your card details.
Where the data is kept. Your account and your cloud files are stored on Cloudflare's network, under Cloudflare's data-processing terms, which may include data centres outside your country.
Emails. If you tick "Email me Studio news" when signing in, your address is also kept by Brevo (our email service) so we can send Academy news and tutorials. Every email has an unsubscribe link, and you can untick the box at any time by writing to us.
Deleting your account. Open My account and choose Delete my account: your account and every file in your cloud are deleted immediately. You can also write to the contact below from the account's email address and we will do it within 30 days, including the email subscription. Records of payments are kept as long as tax law requires. If you used Google Drive with an earlier version, that folder is yours; delete it from Drive whenever you wish.
What the app saves, and where
Each tool saves your work in the browser storage of the device you are using. Simplified Ceph keeps your current tracing and patient details. Simplified Cast keeps your current session. Simplified Practice keeps patient records, visits, fees and the files you attach to them.
Files you open, such as radiographs, photos and STL, PLY or OBJ models, are read on your device. Without an account they are never uploaded. With an account, the ones you save in a tool are copied to your private Studio cloud as described above.
Files you export
When you export a CSV, JSON, image, report or backup file, it is saved where you choose. After that, the file is under your control.
Other services
Simplified Practice can open WhatsApp when you tap a patient's WhatsApp link. WhatsApp's own privacy policy applies to anything you do there.
Website hosting
The app is delivered from our website, which is hosted by Cloudflare. Like any web host, Cloudflare processes the technical details needed to deliver pages, such as IP address, browser type and request time, under its own privacy policy. We do not use these details to identify you.
Your responsibilities as a clinician
If you enter information about patients, you are responsible for obtaining their consent, for following the data protection laws that apply to you, such as Egypt's Personal Data Protection Law and Saudi Arabia's Personal Data Protection Law, for keeping your device and your Google account secure. Before you store identifiable patient information in your Studio cloud, make sure your patients have agreed to it. Anything you keep only on your device, we cannot see or recover.
Deleting your data
You can delete records inside Simplified Practice and clear a session inside each tool. To remove everything from a device, clear the stored data for this website in your browser settings. To remove everything from your cloud, delete your account in My account. Uninstalling the Android app may not remove data that the browser has stored.
Children
The app is intended for dental professionals and students. It is not directed at children.
Changes to this policy
If this policy changes, the new version will be posted on this page with a new effective date.
